Job Specifics

Duties Description 1. Open, review, sort, log, and distribute incoming mail to the warehouse.
2. Maintain confidential documents, information, and files in both electronic and paper formats.
3. Coordinate with District Office staff to schedule the transportation, or receipt, of evidence/property to the CID warehouse.
4. Maintain a valid driver’s license and operate a motor vehicle in order to pick up, deliver and transfer evidence/property.
5. Assist with the monthly sample evidence inspections and annual internal audit of the CID warehouse.
6. Prepare and maintain records of disposed/returned property/evidence, including preparing property for auctions of alcohol and destruction of cigarettes.
7. Assist with office coverage, answer telephone, and respond to email inquiries. Direct inquiries or issues to appropriate CID staff either in the Warehouse or District Office.
8. Move and store property/evidence within the warehouse throughout the custodial process from intake to disposition.
9. Be proficient in the use of CID’s Evidence Tracking System. Update the Evidence Tracking System for all movements of property/evidence throughout the life of the property/evidence at the CID Warehouse.
10. Responsible for documenting damaged property/evidence at the warehouse by taking photographs of damage and uploading/documenting the damage in CID’s Evidence Tracking System.
11. Be proficient in the use of CID’s Case Management System, which includes identifying the status of a case, locating proper documentation to ensure the proper disposition of property/evidence.
12. Responsible for maintaining and distributing supplies related to the seizure and storage of evidence, primarily for cannabis products, as directed by the Assistant and Deputy Directors for CID.
13. Collaborate constructively with other CID staff to maintain updated internal controls at the CID warehouse.
14. Operate office equipment such as printers, photocopiers.
15. Bend, lift, stand and walk for extended periods of time.
16. Work overtime as required.
17. Travel may be required for training and transportation of property/evidence. (Travel approximately 20%).
18. Comply with Office of Human Resources Management, Code of Conduct, Ethics, Internal Control Rules, Policies and Procedures. Maintain familiarity and strict adherence to all official rules, policies, and procedures, as well as those relating to secrecy and computer security. Must adhere to department time and attendance rules and regulations.

Minimum Qualifications COMPETITIVE MINIMUM QUALIFICATIONS:
The selected candidate must be reachable on the eligible list for this title and location under Civil Service Law, Rules and Regulations.

The selected candidate must be eligible for a 70.1 transfer under Civil Service Law, Rules and Regulations.

OR

NON-COMPETITIVE MINIMUM QUALIFICATIONS:
Current NYS employee with one year or more of qualifying permanent service as an office assistant, clerical or keyboarding title allocated to Grade 6 or higher.

One year of experience where most work time is spent performing activities related to mail receipt, mail distribution, storage, and stores keeping.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non­competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
